Job description

As a Project Management Officer (PMO), you will play a pivotal role in planning and overseeing both short-term and long-term consultancy projects that integrate - and deliver consultancy services on top of – our advanced SaaS platform, Sigrid. You will be responsible for ensuring that all projects are staffed, started, and ended on time, within budget, utilizing the right people (in terms of skills and experience, as well as team composition), so they can be executed within scope and budget. Your ability to balance multiple project-administrative, planning, and support requirements at short notice while paying meticulous attention to detail will be the key to driving the success of our platform and consultancy services.

Your immediate focus:
You will streamline and improve the efficiency of our support request processes for our Support organisation, called SCC (Sigrid Control Center). SIG’s support organization has a complex tech landscape that requires reliable, efficient, and forward-looking infrastructure to support current operations and future growth. You will play a role in planning, executing, and managing technical initiatives that support our operations and growth. Your expertise will be very important in driving automation, continuous system improvement, and ensuring our support infrastructure is reliable and efficient, also by using our own in-house AI solutions (ChatSIG). You will be part of the Project Management Office (PMO), contributing to the overall mission and vision of enhancing project execution within our consultancy services.

Key Responsibilities:

  • Support request management: Oversee and manage the lifecycle of support requests, ensuring timely resolution and optimal use of resources.

  • Process improvement: Continuously assess and improve support workflows and processes to enhance efficiency and effectiveness.

  • Project coordination: Coordinate technical projects related to support, ensuring they are completed on time.

  • Risk mitigation: Identify potential issues and dependencies in support processes, developing strategies to mitigate risks and smooth operations.

  • Project Planning: Prepare staffing of delivery teams, given client contracts and requirements, skills, availability, and other ongoing projects. Ensure the resource planning for future projects is accurate and actionable.

  • Technical product requirements: Gather and document technical product requirements, translating business needs into actionable technical specifications.

  • Cross team collaboration: Work closely with various teams (e.g., consultants, customer success, and product) to align on support strategies.

  • Change management: Facilitate change management processes for support infrastructure/system changes, ensuring minimal disruption and effective implementation.

  • Stakeholder Coordination: Liaise with internal teams, team managers, and other internal stakeholders to ensure predictability through clear communication and alignment on staffing status and potential alternatives.

  • Project administration management: Monitor ongoing project budgets, ensuring that all financial resources are utilized effectively and efficiently.

  • Reporting & Documentation: Ensure the correctness of our planning and project systems to allow for detailed reporting.

  • Continuous Improvement: Identify opportunities for process improvements within project management practices and contribute to the enhancement of our PMO methodologies.

Job requirements

Requirements

  • 3+ years of experience in project management or technical roles, preferably in a support or operations environment.

  • Familiarity with support tools and platforms, including customization and integration capabilities.

  • Proven ability to document and translate business needs into technical requirements.

  • Experience implementing automation and AI solutions to streamline support processes.

  • Strong collaboration skills, with the ability to work effectively with diverse teams across different regions.

  • Excellent prioritization skills, capable of managing multiple projects with competing priorities.

  • Strong communication and interpersonal skills, able to clearly convey ideas and their impacts.

  • Bachelor’s degree in Business, Project Management, Information Technology, or a related field.

  • Proficiency in project management tools and software.
